Campus Event Displays

Which event platforms feed campus screens, what an event layout looks like, and how to handle athletics and busy campus weekends.

Campus event displays pull today’s and upcoming events from 25Live (CollegeNET), Localist, or R25 and render them on student union, library, and academic building screens. Typical layout: event name, time, location, organizer, RSVP link or QR code. Updates push within 1-5 minutes of changes in the source platform. Replaces the printed weekly events flyer and the Excel-based athletics schedule that nobody updates.

A campus communications, student-life, or auxiliary-services team can use student union, library, dining hall, and athletic facility screens to push today’s and upcoming events from 25Live or Localist, athletic schedules, lecture series listings, club activities, dining hall events, and registration deadlines, replacing the printed weekly events flyer and giving every student a glance-able view of what’s happening on campus today.

How do you display campus events on screens?

Connect the CMS to 25Live, Localist, or R25 via XML feed or REST API. Configure the event widget with the date range (today, this week), categories (academic, athletic, social), and rendering template. Publish to designated screens. Updates push as events change in the source platform. The integration is part of the broader campus digital signage deployment.

What event platforms integrate with digital signage?

25Live (CollegeNET, dominant in higher ed), Localist (event marketing focus), R25 (older CollegeNET system), Modern Campus, Trumba. Most CMS platforms support 25Live natively because of its higher-ed market share. Other platforms typically connect via REST API or RSS feed. Setup typically takes 1 to 2 hours per integration. Authentication uses API tokens issued from the event platform admin console.

What does an event display layout look like?

Top: section header (today’s events, this week, this weekend). List rows: event name (large), time, location, organizer or category. Optional QR code per event linking to RSVP. The layout typically displays 5 to 10 events at once and rotates if more events are scheduled. Color-coded by category (athletic, academic, social) for at-a-glance scanning. Layout reads at 8 to 12 feet, the typical glance distance in student unions.

Can athletic schedules display alongside academic events?

Yes. 25Live supports tagged event categories. The CMS can display all categories in one widget or zone the screen with separate widgets per category (top half academic, bottom half athletics). Multi-feed setups pull athletics from a separate source (athletics CMS) and academic events from 25Live. Pair the event display with campus wayfinding kiosks at venue entrances and emergency alert overrides for full event-day coverage.

How do you handle event displays during athletic events or campus weekends?

Pre-configured layouts for high-traffic events: parents weekend, homecoming, graduation, athletic playoffs. The CMS schedules layout switches automatically based on the event date in 25Live. Layout includes event-specific branding, schedule emphasis, and parking or transit information. The same scheduling logic supports community college event displays for FAFSA workshops and registration deadlines, with different content priorities.
