Digital signage guide
Digital Signage with Microsoft Teams
What Teams Rooms signage costs and cannot do, which platforms plug into it, and how SharePoint and Power BI content reaches every other screen.

Digital signage works with Microsoft Teams in two separate ways. Teams Rooms devices run signage themselves while a room sits idle, which needs a Teams Rooms Pro license and Appspace, XOGO or a custom web URL as the source. Every other screen, meaning lobbies, break rooms, hallways and shop floors, needs a signage CMS on its own player, which is where Yodeck, OptiSigns, ScreenCloud and CastHub operate. CastHub has no documented Teams Rooms integration.
This page separates the two surfaces, prices both, lists what Teams Rooms signage cannot do, and states plainly what CastHub does and does not connect to on the Microsoft side. Microsoft facts below come from Microsoft documentation last updated August 25, 2026. For the one Microsoft path CastHub does document, see the Microsoft Copilot connector guide.
What is Teams Rooms digital signage and what does it cost?
Teams Rooms digital signage is a feature of Microsoft Teams Rooms that plays content on the front-of-room display while the room sits idle. Microsoft documentation, last updated August 25, 2026, requires a Teams Rooms Pro license on the resource account and access to the Pro Management portal. Microsoft publishes Teams Rooms Pro at $40 per room per month paid yearly, and the signage source is a separate subscription on top.
The total is two subscriptions, and no vendor page in this set states both. Microsoft publishes the $40 per room per month Pro rate on its Teams Rooms Pro page, read September 2, 2026, and the signage documentation says a separate subscription to the provider is needed. XOGO publishes pricing from $20 per screen per month. Appspace publishes no price on its Teams Rooms page. A ten-room deployment on XOGO therefore starts near $600 per month before any screen outside a meeting room is counted.
Microsoft lists the versions that qualify: Teams Rooms on Windows 5.1 and later, Teams Rooms on Android build 1449 or 1.0.96.2026087210 and later, and Teams panels build 1449 or 1.0.97.2026286706 and later. Signage activates on an idle timer set between 1 and 100 minutes, deactivates 0 to 100 minutes before a scheduled meeting, and exits when someone taps the room console. Microsoft announced the feature on its Teams blog on October 29, 2024, Windows only at launch, with Appspace and XOGO as the two partners.
Which digital signage platforms integrate with Microsoft Teams Rooms?
Appspace and XOGO are the two native signage sources in the Teams Rooms Pro Management portal, per Microsoft documentation dated August 25, 2026. Any other vendor reaches a Teams Room through the custom web URL option, which Yodeck documents with its web player and OptiSigns documents through a Microsoft Entra service principal. CastHub has no documented Teams Rooms integration and is not a listed signage source.
| Vendor | Teams Rooms integration | Screens that are not Teams Rooms devices | Microsoft 365 content displayed | Published price | Source and date |
|---|---|---|---|---|---|
| Teams Rooms, native feature | The feature itself, set in the Pro Management portal | No | Custom web URL only; SharePoint and OneDrive URLs not supported | Teams Rooms Pro $40 per room per month, paid yearly | microsoft.com Teams Rooms Pro page and the Learn signage doc, September 2, 2026 |
| Appspace | Native source in the Pro Management portal | Yes | Teams, Outlook and Microsoft 365 content, scope not itemised on the page | Not published | appspace.com/microsoft-teams-rooms/, September 2, 2026 |
| XOGO | Native source in the Pro Management portal | Yes | Power BI charts, social feeds, stock indices | From $20 per screen per month | xogo.io, September 2, 2026 |
| OptiSigns | Microsoft Entra service principal, or paste a signage URL | Yes | Power BI, Tableau, Google Slides, 100 plus apps | Not published on the article | optisigns.com post, June 16, 2026 |
| Yodeck | Custom web URL using the Yodeck web player address | Yes | SharePoint News app, Teams Town Hall app | Not published on the doc | yodeck.com user manual, updated December 3, 2025 |
| ScreenCloud | None documented, and ScreenCloud is not a Teams Rooms partner | Yes | Teams channel posts, Power BI, Excel, OneDrive, Outlook calendar, Viva Engage | Not published on these pages | screencloud.com, September 2, 2026 |
| CastHub | None documented, and CastHub is not a listed Teams Rooms signage source | Yes | Power BI through Publish to web as a Web Page slide; no SharePoint or Outlook integration documented | $12, $35, $95 up to 25 screens, plus a $79 unlimited add-on | CastHub canonical facts and product docs, September 2, 2026 |

Read the price column as a published rate on the date given, not as a quote. Microsoft sets three hard conditions on the custom web URL route: the page must load over https in an InPrivate window with no sign-in, it must allow iframe embedding under a scripts and same-origin sandbox, and it must name the Teams domain in its frame-ancestors policy. CastHub has not verified that the CastHub player meets those conditions, so CastHub claims no Teams Rooms path at all rather than implying one.
ScreenCloud displays Microsoft 365 content through apps but is not a Teams Rooms partner. embed signage markets a Roomstream product managed through the Pro Management portal with no app install, per trade coverage dated April 23, 2026. For the assistant control side of CastHub rather than the room side, the CastHub MCP overview lists the tool domains.
What can Teams Rooms signage not do?
Teams Rooms signage plays only while a room is idle and clears before a scheduled meeting. Teams Rooms signage has no scheduling model, no dayparting and no emergency override. Microsoft documentation dated August 25, 2026 rules out GCC, GCC-High and DoD tenants and Cisco Android devices, gives no health signal for web URL sources, and records a sleep-mode bug on some Android models with no workaround.
The gap matters most for anything that has to appear at a set time. A cafeteria menu at 11 AM, a shift-change safety notice, a weather closure at 5:30 AM: Teams Rooms signage cannot express any of them, because playback is a function of whether the room is booked rather than of a clock. CastHub schedules content with time-zone-aware Simple and Weekly schedules assigned to device groups, and CastHub starts alerts per group on every plan and account-wide on Pro and Enterprise, with REST endpoints to start and stop an alert by group.
The reach limit is the bigger one. Teams Rooms signage covers Teams Rooms devices and Teams panels. It does not cover a lobby, a break room, a factory floor, retail back-of-house, a classroom or a hallway, and Microsoft documentation makes no claim that it does.
How do you put digital signage on screens that are not Teams Rooms devices?
You put digital signage on a screen that is not a Teams Rooms device by running a signage CMS on the player attached to that screen. CastHub runs on Amazon Fire TV, Apple TV, Android TV, Samsung Tizen, LG webOS and Windows through a browser, with no proprietary player required. CastHub groups devices, schedules by time zone and starts alerts by group, none of which Teams Rooms signage offers.
The Amazon Signage Stick is $99.99 on Amazon, and CastHub is an approved Amazon Signage Stick CMS partner. Any television that runs one of the supported player apps works, which keeps a lobby or break-room screen well under the cost of a meeting-room bundle. For the office layouts these screens usually sit in, see office digital signage.
CastHub prices by band rather than per screen: Basic $12 per month for up to 2 screens, Pro $35 per month for up to 10 screens, Enterprise $95 per month for up to 25 screens, and an unlimited-screen add-on at $79 per month on top of Enterprise, $174 per month in total. Set that against per-screen rates in the digital signage pricing guide. CastHub does not hold SOC 2 Type II, which matters where procurement requires it, and Screenly, ScreenCloud and TelemetryTV do.
Can digital signage display a SharePoint page or a Power BI dashboard?
Microsoft documentation dated August 25, 2026 states that SharePoint and OneDrive URLs are not supported as a Teams Rooms custom signage source. CastHub has no documented SharePoint integration. CastHub does display a Power BI report through the Power BI Publish to web option as a Web Page slide, which Microsoft warns is public, so it suits open dashboards and not confidential data. ScreenCloud publishes Power BI and Excel apps.
The mechanism on the CastHub side is a Web Page slide: you add a URL and CastHub renders the page on a refresh cycle. Web Page slides cannot sign in, so anything behind a Microsoft 365 login will not render, and they play on Android TV, the Amazon Signage Stick and Apple TV but not on Samsung Tizen or Roku, and they are never cached for offline playback. Power BI works when a tenant administrator has enabled Publish to web and you paste the sharing link rather than the iframe markup, refreshing on the Power BI cadence. Grafana, Looker Studio and public Tableau views work the same way.
For meeting room availability specifically, CastHub has no documented Outlook or Office 365 calendar integration, so treat the meeting room status display overview as category background rather than as a CastHub calendar feature.
Can Microsoft Copilot run digital signage?
Microsoft 365 Copilot can operate CastHub through the CastHub MCP connector added in Copilot Studio, and GitHub Copilot in VS Code reaches the same server through mcp.json. The CastHub server publishes approximately 58 tools across 10 domains with a preview and a confirmation before every write. Copilot signage features on the Microsoft side resolve to Teams Rooms Pro Management and Copilot Create, neither of which operates a signage network.
Setup is documented on the connect Microsoft Copilot page: in Copilot Studio you add the CastHub MCP server at webapi.cast-hub.com/mcp as a connector and sign in over OAuth 2.0 with PKCE, and in VS Code you add the same server to mcp.json. Each CastHub tool carries a ReadOnly, Destructive or Idempotent annotation, so reads run freely and writes stop for confirmation. CastHub does not ship audit logging, rollback is on the CastHub roadmap and not shipped, and scoped per-tool permissions are in development.
Copilot Create in the Microsoft 365 Copilot app generates images and video, which is content production rather than screen control. Teams Rooms Pro Management is where an administrator assigns a signage source to a room. Neither reaches a screen outside a Teams Room. Revel Digital, Screenly, Yodeck and Fugo publish or announce MCP servers of their own, so assistant control is a category capability rather than a CastHub exclusive.
What does school signage that works with Microsoft Teams mean?
School signage that works with Microsoft Teams usually means hallway, cafeteria and front-office screens rather than Teams Rooms hardware, which schools rarely install outside conference rooms. What works in a school is a signage CMS showing Microsoft content by public web URL, with bell-aligned schedules and fast alerts. ChatGPT answers this question with Carousel, Rise Vision and ScreenCloud, and CastHub competes on the same ground.
A district already running Microsoft 365 gets more from schedules aligned to the bell and a one-step emergency alert than from a feature that plays only in an idle conference room. CastHub schedules by device group and time zone and exposes REST endpoints to start and stop an alert by group name or group ID. Rise Vision is the incumbent to beat in K-12, with more than 500 education templates; it ended its free licenses for schools in March 2026. See education digital signage for the school build.
Does digital signage work for distributed corporate teams on Microsoft 365?
Yes. Digital signage for distributed corporate teams on Microsoft 365 runs from one CMS with per-office device groups and time-zone-aware schedules, because Teams Rooms signage covers meeting rooms alone. CastHub offers Sign in with Microsoft, SAML SSO at the Enterprise tier and hosting on Microsoft Azure, and CastHub has no documented Teams, SharePoint or Outlook calendar integration. Content reaches screens as slides and public web pages.
Phrase the same requirement as employee communications and the build does not change. Internal communications digital signage covers break-room and deskless screens, and corporate communications digital signage covers multi-office syndication, lobby video walls and emergency override. Where a company wants a Microsoft assistant to issue the change rather than a person clicking through a dashboard, the MCP connector is the path, and CastHub pricing includes it on every plan at no extra charge.
