Team Members, Roles, and Spaces

Team members, roles, and spaces

A CastHub account can hold more than one login. Each person signs in with their own email and password, holds a role that decides how much of the account they see, and works inside one or more spaces. This article covers inviting people, the two roles, the account holder, and how spaces restrict what a member can reach.

Before you start

Inviting members and creating spaces require an Enterprise subscription. Basic and Pro accounts have a single login and a single space. An Enterprise account holds up to 25 logins in total, counting the account holder. The Team page shows how many seats are in use. Members and spaces are managed from the web dashboard.

The account holder

Every account has exactly one holder, the person who created the account and whose email is tied to billing. The holder is always a Manager and cannot be demoted or removed. Only the holder can invite members, remove members, change a member’s role, or transfer the account. Other Managers see the whole account but cannot change who is on it.

Invite a member

Sign in as the account holder and choose Team in the top navigation. Choose Invite member, enter the person’s email address, optionally add a first and last name, pick a role, and confirm. CastHub creates a new login for that address and emails the person a generated password with a link to sign in. Ask them to change the password after their first sign-in.

The address cannot already belong to a CastHub account. Invites always create a new login, so an existing CastHub user cannot be pulled into a second account with the same email. If the email never arrives, open the member’s row on the Team page and choose Re-send invite. CastHub issues a new password, emails it, and signs out any session opened with the old one.

Manager and Member

A Manager reaches every space in the account and everything in it: presentations, device groups, devices, and schedules. Managers also create spaces and decide which members are in which space. A Manager cannot invite or remove people and cannot change billing. Those actions stay with the holder. New invites default to Manager.

A Member sees the shared space plus any spaces they have been put in, and everything inside those spaces. A Member who has not been added to any restricted space sees only the shared space. Within the spaces they belong to, a Member can create and edit presentations, manage device groups and schedules, and assign content to screens, the same as a Manager.

The holder can change a member’s role at any time from the Team page. Demoting a Manager to Member takes effect immediately and removes their view of every restricted space until a Manager adds them back, so CastHub asks you to confirm before demoting.

Spaces

A space is a container for presentations, device groups, and schedules. Every account has one shared space, named General to begin with, that everybody in the account reaches. All of your existing content starts there. Managers on an Enterprise account can create additional restricted spaces from the Spaces page, and only members who have been put in a restricted space can see what it holds.

Spaces replace sharing individual items. Put a member in a space and they reach everything in it, now and in future. There is no per-presentation or per-group sharing to maintain.

Once an account has more than one space, a space picker appears in the dashboard header so you can show one space at a time or all of them together. The Spaces page lists each space with how many presentations, device groups, and schedules it holds.

Put content into a space

In the Presentations, Devices, or Schedules list, open the row’s actions and choose the Move option, then pick the destination space. Devices follow their device group. Content that belongs together must move together: a schedule and the presentations it plays have to end up in the same space. If you move a schedule on its own, CastHub refuses the move and names the presentations that would be left behind, so move the schedule and those presentations as one set.

Add a member to a space

On the Team page, open the member’s row and choose which spaces they are in. Tick a space to add the member and untick it to remove them. Everybody reaches the shared space, so it cannot be unticked. Managers do not need to be added to spaces because their role already reaches all of them.

Rename or delete a space

From the Spaces page, choose Rename to change a space’s name, including the shared space. Two spaces cannot share a name. A restricted space can be deleted only when it is empty, so move its presentations, device groups, and schedules elsewhere first. The shared space cannot be deleted.

Remove a member

From the Team page, choose Remove member. This permanently deletes that person’s login. Presentations, device groups, and schedules belong to the account rather than to the person who created them, so nothing is lost. The holder cannot be removed.

Transfer the account

If the holder is leaving the organization, they should first hand the account to another member from the Team page. The new holder becomes the billing contact and gains the holder controls, and the previous holder stays on the account as an ordinary Manager. The subscription continues unchanged. A transfer is not self-reversible, because only the new holder can transfer the account again.

If your Enterprise subscription lapses

Existing members keep their logins and existing spaces stay in place, but CastHub blocks inviting, creating or renaming spaces, and moving content into a restricted space. You can still move content back into the shared space and delete restricted spaces once they are empty, which is how to return the account to a single-space layout.

Managing members and spaces from an AI assistant

The CastHub MCP server exposes the same operations, so an assistant such as Claude, ChatGPT, or Microsoft Copilot can list members and spaces, invite or remove members, change roles, create spaces, and move content. Listing is read-only. Every other action asks for your confirmation before it runs, and inviting sends a real email, so review the preview before you approve it.
